This manual is intended to provide you with a comprehensive step-by-step guide on how to utilize the systems and tools we use to run our business, including Magento, QuickBooks, Freshdesk, and Shipstation.
- Magento
- Log in to Magento using your assigned username and password
- To process an order, navigate to the "Orders" tab and click on the "New Order" button
- Fill in the customer information, including billing and shipping address
- Select the products to be ordered and adjust the quantity as needed
- Select the shipping method and apply any necessary discounts or coupons
- Review the order summary and click "Submit Order" to process the payment
- To manage returns, navigate to the "Returns" tab and click on the "New RMA" button
- Fill in the customer information and the details of the return, including the reason for the return and any necessary attachments
- Click "Submit RMA" to process the return
- QuickBooks
- Log in to QuickBooks using your assigned username and password
- To process a payment, navigate to the "Sales" tab and click on the "Invoice" button
- Fill in the customer information and select the products or services being purchased
- Review the invoice summary and click "Save and Send" to send the invoice to the customer
- To process a refund, navigate to the "Vendors" tab and click on the "Refund" button
- Select the customer and the invoice for the refund, and enter the refund amount
- Review the refund summary and click "Save and Close" to process the refund
- Freshdesk
- Log in to Freshdesk using your assigned username and password
- To respond to a customer inquiry, navigate to the "Tickets" tab and click on the "New Ticket" button
- Review the customer inquiry and provide a detailed and professional response
- To resolve a customer complaint, navigate to the "Tickets" tab and click on the "New Ticket" button
- Review the customer complaint and take the necessary steps to resolve the issue, such as issuing a refund or arranging for a replacement product
- Shipstation
- Log in to Shipstation using your assigned username and password
- To process a shipment, navigate to the "Orders" tab and select the order to be shipped
- Select the shipping carrier and service, and enter the package dimensions and weight
- Review the shipping summary and click "Create Label" to generate the shipping label
- To track a shipment, navigate to the "Shipments" tab and enter the tracking number
- Review the shipment status and update the customer as needed
